Privacy Policy

1) Who we are

The RMIS Traceability App supports livestock traceability workflows and integration with Datamars devices and Datamars-approved backend systems (including RMIS traceability services).

“Datamars”, “we”, “us”, or “our” refers to the parties responsible for the App’s operation within the relevant deployment, which may include Datamars and its implementation partner(s). “You” refers to an App user.

2) Information we collect

2.1 Operational and livestock traceability data

• Animal identifiers (e.g., EID, VID) and related traceability fields captured in the App.
• Animal attributes such as species (e.g., Sheep, Cattle, Goats).
• Location identifiers such as Global Location Numbers (GLN) used to record registrations and movements (e.g., origin and destination GLNs).

These identifiers relate to animals and premises and are used to support traceability and compliance workflows.

2.2 Device and app technical data

• Device information (model, operating system version, app version).
• Connectivity status and diagnostic logs (used to improve reliability and support troubleshooting).
• Device identifiers required for integrations (e.g., Bluetooth device identifiers for supported hardware).

2.3 Account and authentication data

• User identifiers such as email address, user role, and organization (where applicable).
• Authentication tokens and access permissions required to secure the system.

We do not intentionally collect sensitive personal information unrelated to the App’s purpose.

3) How we use information

We use collected information to:

• Enable livestock traceability workflows, including capture, validation, and synchronization of records.
• Integrate with supported Datamars devices and approved backend systems.
• Provide operational reporting and auditability where required for traceability programs.
• Maintain security, prevent unauthorized access, and enforce access controls.
• Diagnose issues, improve performance, and provide support.

4) Sharing and disclosure

We share information only as needed to operate the App and associated traceability services. This may include:

• Datamars-approved backend services (including RMIS traceability systems) to store and process traceability data.
• Authorized administrators within your organization (e.g., farm management, operators) according to role-based access.
• Service providers that support hosting, security, and monitoring, under confidentiality and security obligations.

We do not sell your information and do not share it for advertising or marketing purposes.

POPIA responsibility

Where personal information is processed through the App, Datamars acts only to the extent required to provide the App’s technical functionality. Users and their organizations remain responsible for ensuring that any personal information captured, transmitted, or shared through the App complies with the Protection of Personal Information Act (POPIA).

Datamars does not determine how RMIS or other third-party systems use or process data once transmitted.

5) Storage, security, and retention

5.1 Security

We apply reasonable technical and organizational measures to protect data, including secure transmission, access controls, and restricted administrative access.

5.2 Offline storage

The App may store data locally on your device to support offline workflows. This data is synchronized when connectivity is available and may remain on-device until successfully synced or cleared by app processes.

5.3 Retention

We retain data for as long as necessary to provide traceability services, meet operational requirements, and comply with applicable laws, contractual obligations, and audit needs.

6) Your rights and choices

Depending on your relationship to the organization using the App and applicable law, you may request:

• Access to personal account information associated with you.
• Correction of inaccurate account details.
• Deletion of personal account data where feasible (traceability records may be retained for audit/legal requirements).
• Support to address security or privacy concerns.

If you are using the App through an organization, requests may need to be handled via your organization’s administrator.

7) Children’s privacy

The App is not intended for children. We do not knowingly collect personal information from children.

8) Changes to this policy

We may update this Privacy Policy from time to time. If changes are material, we will update the “Effective” date at the top of this page.
